Regular staff/volunteer reflection circles

This criterion assesses whether the organization facilitates regular reflection circles for staff and volunteers to support their spiritual and ethical development. It evaluates the commitment to nurturing the inner dimensions of those who serve, grounding operations in raḥmah (mercy) and mutual care—as the Prophet ﷺ described believers as 'one body' (Muslim 2586). Effective service requires spiritual groundedness, self-awareness, and continuous moral growth. Methods include muḥāsabah prompts with Qur’an tadabbur, Gibbs/Kolb reflective cycles, and ethical case rounds linking service dilemmas to 'cooperating in righteousness' (Quran 5:2).

Assessment Questions
  1. Describe any formal or informal practices your organization has for staff and volunteers to reflect on their spiritual and ethical development.
  2. Are there regularly scheduled reflection circles? If so, how often do they occur, and what is the typical format or agenda?
  3. What confidentiality statement is used, and what are the specific safeguarding carve‑outs communicated to participants?
  4. What UK GDPR lawful basis is documented for these circles, and have you completed a Legitimate Interests Assessment (LIA)?
  5. How do you prevent circles from becoming performance management or therapy, and what is the referral/signposting pathway?
  6. How are facilitators selected, trained (hours/topics), and re-authorised for their role?
  7. What adaptations exist for disability, neurodiversity, language, shift patterns, and for those preferring women-only/mixed circles?
  8. Can you provide examples of how insights from reflection circles have positively influenced individual behavior, team dynamics, or service delivery?
Evidence Requirements
  • Schedule or calendar of reflection circles.
  • Anonymised Thematic Log template (blank) and sample completed logs (strictly no names/personal narratives).
  • Facilitator register (training dates, CPD, supervision dates).
  • Confidentiality + safeguarding carve‑out script/statement.
  • Copy of Legitimate Interests Assessment (LIA) for Art. 6(1)(f).
  • Facilitator guides, topic lists, or curriculum used in the circles.
  • Feedback forms, surveys (including psychological safety index results), or testimonials.
  • Documentation linking reflection circle themes to organizational values or strategic goals.
