Formal Performance Management System

Assesses if a structured, fair, and regular process for performance reviews, objective setting, and feedback for all staff is in place. The system must reflect Justice (ʿAdl) through bias mitigation and due process, and Excellence (Iḥsān) by integrating wellbeing checks, sincere counsel (Naṣīḥah), and development support. Upholding these values fulfills the leadership trust (Amānah) and aligns with the Maqāṣid al-Sharīʿah (objectives of Islamic law) by preserving human dignity (Karāmah) and fostering a culture of continuous mutual growth.

Assessment Questions
  1. Does the organization have a documented policy that covers the full performance cycle, appeals, and data protection?
  2. Are managers trained in conducting fair, compassionate, and bias-free reviews before they assess staff?
  3. Does the process include a mandatory self-assessment (Muḥāsabah) and a formal check on wellbeing/workload?
  4. How does the organization ensure fairness (ʿAdl) and consistency in ratings across different managers (e.g., calibration meetings)?
  5. Is there evidence that performance outcomes are directly linked to funded development plans and support actions?
  6. Does the Board/Trustees receive assurance reports on performance management completion, fairness, and culture?
Evidence Requirements
  • Performance Management Policy (including appeals, GDPR retention schedule, and capability procedures).
  • Training records showing managers have completed performance/bias training.
  • Anonymized samples of completed reviews showing: SMART objectives, self-assessment, wellbeing check, and development plan.
  • Minutes from calibration/standardization meetings demonstrating fairness checks.
  • Anonymized report to Trustees regarding performance KPIs and equality monitoring.
  • Staff survey results regarding the fairness and usefulness of the appraisal process.
