Hospitality corner/room usage

Assesses whether the organization provides a dedicated space for welcoming and hosting guests, particularly visitors and newcomers. Formal hospitality = pre-arranged hosting of visitors/stakeholders (e.g., delegations, donors, civic or interfaith visitors, new member orientations) with a named host, a booking, and a simple record. To count as a formal event, it must involve external visitors or newcomers (not routine customers), last ≥20 minutes, and be logged. Routine customer service in public-facing retail does not count. This space should be used at least four times per year for formal hospitality.

Assessment Questions
  1. Does the organization have a designated space for welcoming guests? (Describe if single-purpose or defined multi-purpose config).
  2. What is your visitor sign-in lawful basis, retention period, and deletion method? Who is responsible?
  3. Do you operate a gifts/hospitality register with approval thresholds? (Provide redacted example).
  4. Do you provide PPDS/portioned food? If yes, show allergen controls; if no, show your proportionate decision record.
  5. What reasonable adjustments have you provided for guests in the last 12 months?
  6. How does the organization ensure the hospitality space is used regularly (≥4 times/year) and proactively?
  7. How is feedback on the guest experience collected (sample size/method) and used for improvement?
  8. In what ways does the organization's approach reflect Islamic principles of Iḥsān, Raḥmah, and privacy (Adab)?
Evidence Requirements
  • Photographs or tour of the hospitality corner/room (showing layout/storage/signage).
  • Formal hospitality event log (template + last 12 months completed entries).
  • Booking system screenshots/printouts showing named hosts.
  • Visitor sign-in privacy notice (dated version) + retention schedule.
  • Gifts & hospitality register (redacted sample) + approval thresholds.
  • Annual room compliance checklist (Fire/H&S/Privacy/Food/Accessibility) signed by owner.
  • Safeguarding evidence: Training log, DSL poster photo, role descriptions.
  • Guest feedback forms/results (meeting minimum sample requirements).
  • Budget line items for hospitality.
